Reply Mail
All reply mail must be automation compatible to be used in outgoing mail pieces. Contact the Mail Center or Publications for information. If all mail is not prepared correctly, one department error can disqualify all University departments.
Business Reply Mail:
This service enables mailers to receive first-class mail by paying postage on mail,
which is returned. The permit holder guarantees payment of the appropriate first-class
postage plus a handling charge per piece.
Business Reply Mail (BRM) cannot be sent to any foreign country.
All BRM must be printed on campus to insure the printing is done per U.S. Postal Standards.
Any department responsible for incorrect printing and use of BRM will be held accountable
for any penalties imposed by the USPS.

Courtesy Reply Mail (CRM) is advisable when responses are more or less assured, such
as invoices for payment sent by mail. This service is a preprinted envelope that will
be expedited through the USPS but the postage is not pre-paid. This is what major
banks and utility vendors use. This does not cost the University anything in postage
and will flow smoothly through the automated sorting equipment used by the USPS.
For more information on reply mail, contact the Mail Center. The U.S. Post Office
has strict preparation requirements on the printing of reply mail. Contact the Mail
Center or Publications for the proper format. The following zip codes must be used

When using Standard Mail, the indicia stamp must be used. This can be pre-printed on envelopes by Publications/Printing. Non-profit authorization can be obtained at the Mail Center before printing the mail piece, which is ideal when requesting non-profit permit use. When using envelopes with the pre-printed NON-PROFIT indicia for a First Class mailing, the indicia must be fully covered by a label.
